File cabinets are used by business globally and by home offices and individuals (for personal important information). Usually only the most important files are kept in file cabinets since a lot of files are stores via the computer.

Fortunately for us (and unfortunately for them) the development of computers has meant that we do not need as many of them as we once did. Since files can be saved on to a computer we only need to store our most important documents in physical form, this is where file cabinets come in.

Offices in general do need to keep a copy of specific documents at hand, and the easiest way to do that is put it in a cabinet near you. Now once the business grows it isn’t just a matter of one or two documents, it is a few hundred that you need by your side. File cabinets provide the space and organization to make this possible. How They Work

The way file cabinets work is that you can either have rails, or you can have folders. Rails are generally pieces of thin metal that folders hang off; the advantage of this is that it is easily navigated through pushing and pulling the documents, which will slide along the rail. If you skip the rail and just have folders, it could cause a few problems; the most common one being that some folders may just sink to the bottom of the pile. It is also less easily navigated. So most businesses do go the full way and get rails, many even come with them when you buy them.

Now I mentioned navigating and organizing your files appropriately, it is the most annoying thing trying to find one file in amongst hundreds when nothing is labelled. It could take you hours. But don’t wither; there is a solution!

How To Keep Track of Your Files

File cabinets don’t just assume you telepathically know where the documents are, although not all of them come with them, it is usually bundled in. I am talking about file dividers; these are literally dividers that will normally divide the files into sections, either alphabetically or in some sequence. The dividers have a space on the top of them that you are able to write on, this part sticks up above the documents so you can see which sections are where, and therefore navigate more efficiently!

Although file cabinets are becoming less popular, it just means the quality has gone up. There are two kinds of cabinets; vertical, and lateral. Vertical is usually 18 inches wide whereas lateral is much wider. That is the major difference; lateral is wider than vertical.

File Cabinet Variations

You can get many varieties of file cabinets, ones that have one big document drawer at the bottom and two regular drawers at the top, or three regular drawers, or four drawers, the list goes on. You can also pick and choose between the materials, the most common is metal (steel), but my favourite is wooden (solid oak looks good). The wooden ones may be more liable to tipping over, so be sure to get one that has a locking system that only allows one drawer open at a time if you are worried, especially if it has over 4 drawers.
You can also get rolling file cabinets; this involves a filing cabinet on wheels. It is quite a ridiculous concept but it is handy if you share a file cabinet with someone and have to keep going back and forth, or if you bring your files into different rooms for meetings.

Specialist file cabinets include ones for hospitals, big, easily accessible medical cabinets provide a quick and efficient way to find medical records. And blueprint file cabinets are specially made to have thin, deep and wide drawers to hold the big blueprints without scrunching them up.
